As a recruiter, when I reach out to candidates, I make it a point to introduce myself clearly and share the job description or relevant details upfront. The intention is simple—to inform about an opportunity that might align with their career goals.
However, a very common response I receive is just:
“Company name?”
or
“Name of the company?”
It immediately eliminates my interest in speaking with that candidate. The question that arises is: “If this person lacks basic professional etiquette, should I refer them to my clients?” As a candidate, you may feel this does not matter—and for some recruiters, it may not. However, it does matter to many recruiters like me. We aim to refer candidates who are not only technically competent, but also professional, respectful, and strong communicators.
Why Etiquette Matters in Professional Communication
Yes, reaching out to candidates is part of a recruiter’s job. But basic professional etiquette applies to everyone, regardless of role.
When someone takes the time to contact you about a job opportunity, the least you can do is respond properly.
- A simple “Thank you for reaching out” shows professionalism.
- If you’re interested, respond to what’s been asked.
- If you’re not interested, that’s perfectly fine—just say so.
Not Interested? Say It (Politely)
If the role doesn’t match your expectations, skills, or career plans, a short and clear response helps both sides:
- “Thank you for sharing. I’m not looking for a change right now.”
- “I appreciate the opportunity, but this role doesn’t align with my current goals.”
Even better, briefly mentioning why you’re not interested can help recruiters reach out to you only for relevant opportunities in the future.
What You Gain from a Simple Response
By responding professionally, you:
- Build a positive impression
- Keep doors open for future roles
- Increase the chances of being contacted for better-suited opportunities
- Strengthen your professional brand
Final Thoughts
This isn’t about blaming candidates—it’s about mutual respect. Recruitment works best when communication flows both ways.
You don’t need to write an essay.
Just be polite, clear, and professional.
Because sometimes, a simple response today can lead to the right opportunity tomorrow.
